NWST DEPUTY SCHOOL MANAGER

Background

The Nairobi Waldorf School Trust was founded in 1999. We welcome more than 380 children on two campuses in Nairobi, Kenya. Lavington campus consists of the toddler, playgroup, kindergarten, and primary grades 1 - 4. The Karen campus includes toddlers, playgroups, kindergarten, primary grades, and high school.

Role Summary

The Deputy School Manager will be in charge of the NWST Lavington Campus, driving the Lavington campus performance in admission and ensuring consistent operations as per the school standards.

This role reports to the School Manager and the Board of Trustees of NWST and is responsible for growing the school, supporting the execution of the NWST strategy, ensuring compliance and policies adherence in the school, delivering on operations and general well-being of the development of the NWST Lavington Campus.

Strategic Planning

The deputy school manager serves as the primary contact and advisor of the Strategic plan implementation, ensuring high customer satisfaction for all stakeholders on the NWST Lavington campus. Owns execution of strategic plan on the NWST Lavington campus, facing service delivery, and nurtures all relationships to ensure successful performance.

Roles and Responsibilities

  •  Manage the implementation of the NWST strategic plan.
  •  Plan and manage the change process on the campus.
  •  Develop and manage strategy implementation and annual plans, tasks, timelines, milestones, and deadlines.
  •  Coordinates work with administration and teachers by monitoring and reporting implementation status and issues on NWST Lavington Campus.
  •  Assign staff tasks and coordinate work with the administration and the pedagogical team on Lavington Campus.
  •  Disseminate the contents of the strategic plan in a manner that ensures that all implementers within the School understand its purpose, buy its objectives, and contribute towards achieving the desired results
  •  Coordinate annual implementation plans amongst the stakeholders on the NWST Lavington campus to ensure timely implementation within agreed budgetary levels.
  •  Ensuring the NWST Lavington Campus delivers the required Waldorf standards for student Wholistic learning experience.
  •  Report to the board in an agreed manner on NWST Lavington campus matters.
  •  Ensure Communication and consultation with third parties and external organizations are entered and maintained to strengthen interest in Nairobi Waldorf School Trust, NWST Lavington campus in line with the school strategic plan
  •  Conduct and manage school objectives, policies, and budgets, particularly activities defined in the annual School operational plan.
  •  Maintain and improve mechanisms for the provision of facilities, including surveying and measuring the process, outcomes and profitability and disseminating feedback to the appropriate internal entities to develop ongoing plans for facilities to achieve targets.

Management

The role of the Deputy Manager is to assist the School Manager in providing professional leadership and management of the school and to help ensure that all students receive the highest standards of care and education. In the absence of the School Manager, the Deputy school manager will undertake the overall day-to-day management of the School.

Other Roles and Responsibilities

  •  Supervising all departments and staff on the NWST Lavington Campus.
  •  Attending board meetings to report matters regarding NWST Lavington Campus.
  •  Preparing monthly board reports for NWST Lavington Campus.
  •  In liaison with the School Manager, oversee new building programs, renovations, and maintenance.
  •  In liaison with the School Manager, ensure students and staff's safety, security, and welfare on the NWST Lavington campus.
  •  Review risk management in conjunction with the school Manager.
  •  Manage and maintain contact with internal and external clients/customers.
  •  Communicate effectively with staff to ensure all school documentation is implemented, maintained, and up to date as per the school procedures.
  •  Ensuring effective communication and decision-making processes on the NWST Lavington Campus.
  •  Attending the weekly internal faculty meetings.

    Financial Management and Compliance.

    Key roles and responsibilities

    •  Responsibly use resources and control expenses to meet budgetary controls.
    •  Responsible for the annual procurement plans of the NWST Lavington Campus aiming at cost-efficient centralized purchasing.
    •  To provide logistical support for all events, meetings, and festivals.

    Core Qualifications

    Academic qualification
    Minimum: Degree in Education.
    Desirable: Masters in educational administration, business administration, or human resources.

    Professional qualifications
    Minimum: Teachers’ Service Commission registration
    Desirable: Teaching,Business Administration, Human resource management

    Minimum: Five years
    Desirable: 8 + years.

Roles and Responsibilities

  •  Maintain an open flow of communication with all constituencies in the School.
  •  Responsible for communicating to parents effectively and promptly about all issues regarding school events and schedule changes.
  •  Take calls and messages, greet visitors, meet prospective parents, guide them through the application and admission procedure and follow up on inquiries to secure an admission.
  •  Typing and processing various documents as and when required.
  •  Keeping a daily check on the e-mails sent to the office along with answering them and taking care of correspondence as directed, all in a timely and efficient manner.
  •  Maintaining and keeping a record of parent contact lists and ensuring the changes are kept up to date.
  •  Provide the Finance Coordinator with the updated list of parents and children no later than the second week of a term to prepare invoices.
  •  Update the notice boards by posting and removal of outdated materials.
  •  File all correspondence and retrieve information from active files or archives upon request.
  •  To organize all events, meetings, and festivals.
  •  Organizing for Photo Day.
  •  Disbursing petty cash, receipt of payments, and banking of the same and reconciling these with the School Finance Coordinator weekly.

Inventory

  •  Develop and maintain a teaching and learning materials inventory system.
  •  Keeping a check on all the things required in the office and ordering them accordingly.
  •  Issuing of class materials.

    School Trips and Transport

    •  Make transport arrangements for staff members and visiting mentors if they have been dispatched on a work-related trip.
    •  Regularly inspect school buses and other transport options to ensure safety and security.
    •  Arrange transport for the School trip and maintain a register of all children going on the trip

    Core Qualifications:

  •  A minimum of Diploma /Bachelor’s degree in Education or administration
  •  At least two years of school administration experience
  •  Waldorf Experience will be an added advantage

  •  Must have a Diploma in International Baccalaureate (IB)
  •  At least five years of experience in teaching the International Baccalaureate.
  •  A Certificate/Diploma in Waldorf Education will be an added advantage
  •  The candidate should have computer skills
  •  Good communication skills

Job Summary:

  • Provide health services to students at school. Help with preventive care by educating students on avoiding communicable diseases and having proper hygiene and sanitation.
  • Work as a School Counsellor to develop and implement a counseling program to assist students in their personal, social, and academic development.

Duties and Responsibilities

      School Nurse

  •  Provide primary healthcare to students and staff in case of injury or illness.
  •  Attend to emergencies in school
  •  Create a clean and comfortable sickbay area.
  •  Document students' injuries and illnesses and keep this information confidential.
  •  Educate students and staff on healthy habits, such as proper nutrition and hygiene
  •  Ensure school environment is safe for children and school staff (e.g., prevention of infectious diseases)
  •  Ensure compliance with government health laws
  •  Promote healthy eating and wellness programs.
  •  Communicate with management regularly.

School Counsellor

  •  Listen to students’ concerns regarding social, academic, emotional, or personal issues.
  •  Provide students and staff with support and guidance on how to deal with problems.
  •  Mediate and improve relationships among NWST community members.
  •  Provide Counseling services to individuals and groups as required.
  •  Work with students to develop and improve their skillset.
  •  Refer students and staff to other support services and mental health professional where necessary.

      Critical Skills and Competencies:

  •  Degree in Nursing
  •  Diploma/Certificate or training in counseling
  •  Working experience as a school nurse or a regular nurse.
  •  At least 3 years of experience as a School Counsellor
  •  Knowledge in essential Occupational Health and Safety.
  •  Working knowledge of counseling models, methods, and resources.
  •  Ability to identify and respond to students ‘and staff needs.
  •  Excellent communication, interpersonal and organizational skills
